How Flash Co. Designed a Fine Art Portrait Studio for a Black-Tie Gala in Banff

The Gathering is not a typical business conference.

Hosted by Cult Collective at the Fairmont Banff Springs every October, it is an immersive multi-day summit designed for leaders of "cult-like" brands. Each year entrepreneurs and marketing executives gather to explore loyalty, creativity, and community. High-profile speakers from globally recognized brands share insights on authentic connection and long-term impact.

The festival closes with the Pinnacle Awards Gala, a semi-formal dinner and awards ceremony celebrating the marketers and creatives behind the most fanatically loyal brands in the world. The evening features a three-course dinner, a live awards ceremony, and high-energy showcases of the year's standout brand stories. It is the grand finale of The Gathering, Festival and the crown jewel of networking events.

For the 2025 edition, Flash Co. partnered with Cult Collective to deliver a refined Studio Photographer Booth experience during cocktail hour, producing fine art portraits worthy of the audience in the room.

What This Event Needed

The Pinnacle Awards Gala draws a particular crowd from festival attendees. Guests arrive prepared for a formal evening of networking and celebration. Guests arrive dressed to the nines and are treated to five-star dining and entertainment. Flash Co. was tasked with delivering an activation that captured the black-tie energy of the event.

The Goal: give every guest a polished, branded keepsake capturing the energy of the The Pinnacle Awards Gala.

The Challenge? Deliver a bespoke photography experience for the guest list in a tight timeline.
Producing individually posed portraits that meet a different standard than a photo booth requires more than equipment. It requires a structured set, skilled direction, and a workflow that keeps guests moving without the experience feeling rushed.

Studio Photographer Booth

Flash Co. designed a full portrait studio environment built specifically for the gala setting. Every element was sourced and configured to align with the event decor.

A Set Designed for the Room

The backdrop was a custom seamless textured panel selected to complement the visual tone of the evening. Gold-accented furniture pieces were brought in to anchor the set, and arrangements were adjusted in real time based on group size — a single chair for an individual portrait, additional seating for couples or small groups of colleagues.

Professional Direction on the Floor

A professional photographer managed the set from the first guest to the last. Posing direction was active throughout — guests were guided into natural, polished positions that suited the formality of the occasion. For a room full of business leaders, colleagues, and partners at a black-tie event, this matters. The difference between a directed portrait and a self-directed one is visible in the final print.

Real-Time Editing and Instant Delivery

An on-site editor reviewed and retouched each capture before it went to print. Guests left with a 4x6 glossy archival print branded with The Gathering logo, and digital copies were available on-site as well. The quality of the output matched the quality of the event.

Results

198 branded portraits captured across a two-hour cocktail reception.

For Cult Collective, the activation delivered a tangible, high-quality guest keepsake while keeping The Gathering name visible beyond the evening itself. For guests, it was a portrait experience that reflected the occasion rather than undercutting it.

Why It Worked

The activation succeeded because the brief was clear and the execution matched it. Cult Collective did not need a high-volume photo booth. They needed a studio portrait experience that could operate efficiently within a formal gala environment and produce a result guests would value.

Three things made the difference:

Set calibration. The furniture, backdrop, and layout were chosen to align with the event decor, not just deployed generically. When the set looks like it belongs, guests engage with it differently.

Active direction. Guided posing changes the output. Guests at formal events are often more reserved in front of a camera than they might expect. A photographer who can read the room and direct with confidence produces better portraits.

Output quality. Glossy archival prints stand out from the standard photo strip. They signal that the experience was worth doing. That perception carries the branding further than the room.
