Assistant Event Operations Coordinator Job Description

Flash Co. produces premium photo and video experiences for weddings, corporate events, and brand activations across Calgary and the Rocky Mountains. We’re hiring an Assistant Event Operations Coordinator to support event execution and grow into a Lead Event Operations Coordinator within 12 months. This role is for someone who wants to understand how events actually run, on-site and behind the scenes, and take ownership over time.

THE ROLE

This is a hands-on, growth-focused position. You’ll start by learning event execution on-site, then move into logistics, coordination, and team oversight.

Over time, you’ll take ownership of bookings, client communication, and full event management.

What to expect:

  • A mix of on-site event work and coordination

  • A schedule that shifts with the event season (not a fixed 9–5)

  • High season (May–December): evenings, weekends, higher volume

  • Low season (January–April): lighter workload, more flexibility

RESPONSIBILITIES

Event Execution

  • Assist with setup, execution, and teardown of events

  • Progress to leading on-site events independently

  • Maintain Flash Co.’s standard for quality and client experience

Equipment & Operations

  • Prepare, test, and program equipment pre-event

  • Troubleshoot issues in real time

  • Complete post-event checks and pack-down

Event Coordination

  • Support bookings, logistics, and client communication

  • Assist with pre-event planning alongside clients, planners, and venues

  • Ensure all event details are accurate and complete

Team & Scheduling

  • Assist with scheduling and communication (Connecteam)

  • Support staffing decisions and event coverage

  • Help manage on-site event teams

Post-Event & Content

  • Assist with client galleries and deliverables

  • Support internal reporting and documentation

  • Contribute to blog posts, case studies, and social content

REQUIREMENTS

  • Based in Calgary with a valid driver’s license and vehicle

  • Able to lift up to 50 lbs

  • Comfortable with evening, weekend, and non-standard hours

  • Willing to travel to mountain venues year-round

  • 0–2 years experience in events, hospitality, or coordination

Nice to have:

  • Experience with CRM tools (Pixifi, 17hats, Tave, etc.)

  • Familiarity with Google Suite, Canva, or Adobe tools

  • Exposure to AI tools for workflows or content

Compensation & Growth

  • Salary: $45,000–$48,000 (includes vacation pay)

  • Banked Time: Overtime banked at 1.5x

    • Typically results in 3–5 additional weeks of paid time off

  • Total Compensation Growth: Low–Mid $50Ks

Growth Path

  • 0–12 months: Assistant Coordinator

  • 12+ months: Lead Coordinator (based on performance)

    • Increased salary in Lead Coordinator role

    • Full ownership of event lifecycle and your own event portfolio

    • Greater autonomy and team leadership and training

What Success Looks Like

Within 12 months, you will:

  • Manage events from inquiry to final delivery

  • Coordinate logistics and timelines independently

  • Communicate confidently with clients, planners, and team members

  • Ensure events are properly staffed and executed

  • Take full ownership of event outcomes

Core Metric:

  • Event Success Rate: 98%+

Measured by:

  • Correct equipment

  • Proper setup and programming

  • Appropriate staffing

  • Smooth execution without preventable issues

Working Conditions

  • Full-time salaried role

  • Paid onboarding at Flash Co. HQ (Calgary)

  • Hybrid: work-from-home + in-person (events and prep)

  • Evening and weekend work required, especially in peak season
