Gala Keepsakes from a Print Photo Booth

Each June, the Alberta Teacher's Association gathers to recognize educators who are retiring after careers spent in Alberta classrooms. The retirement banquet and Gala night draws around 400 guests. Colleagues, partners, and peers gathered to mark what is, for many of them, the end of a significant chapter.

It is a formal evening, and the guests arrive dressed for it. The room fills with people who know each other from different points across their careers, and the atmosphere carries the particular mix of celebration and sentiment that shows up when something meaningful is coming to a close.

For an event like this, the entertainment needs to fit the room. Flash Co. was brought in to run the photo experience for the evening, and the setup was built around one goal: give every guest a way to capture the evening, and make sure they left with something worth keeping.

Alberta Teachers Celebrate in Style

The Alberta Teachers’ Association annual Gala is a chance for retiring teachers to celebrate their accomplishments and connect with colleagues. 2026’s Gala offered two print photo booth installations with different looks. Over 400 guests attended and took home a 4x6 portrait to commemorate the occasion.

The Event Goal: A Keepsake For Gala Attendees

To cover a guest list of 400 across a full evening, Flash Co operated two Print Photo Booths simultaneously, each set up with a different backdrop. Running two activations allowed all guests to flow through the photo booths with their significant others and colleagues for commemorative portraits.

Why are multiple photo opportunities needed for an event this size?
A single booth at an event this size creates a bottleneck. Guests cluster early, lines form during the first hour, and attendance drops off as the evening progresses. With two print photo booths running in parallel, guests move through more easily, wait times stay manageable, and both setups remain active and visible from arrival through to the end of the gala.

The two different backdrops also gave guests a reason to visit both stations. Some came through once with a partner and returned later with colleagues. Others wanted a print from each setup. The result was a photo experience that stayed in use throughout the full evening rather than peaking in the first thirty minutes and going quiet.

The Challenge:

With an audience of this size, creating intimate moments can be difficult. Guests are seated across a large ballroom. Programming is tight and needs to run on schedule, and the evening includes things like dinner service, formal speeches and recognition for attendees.

The photo experience chosen for Galas needs to feel thoughtful, intentional and leave a lasting impression with the event attendees.

Flash Co. deployed two Print Photo Booths, each with a backdrop designed to match the event theme and branding to commemorate the 2026 Gala. Together, both photo experiences gave guests multiple ways to engage throughout the night.

Running two print booths simultaneously was the right call for a Corporate Gala of this size. It distributed guest flow across the room, kept wait times down, and ensured the photo booths stayed active and visible throughout the entire service window. Each booth featured a timeless backdrop chosen to reflect the event's aesthetic and encouraged guests to move between booths throughout the night.

Posed Portraits at a Formal Event

The photo experience at the gala was not a drop-in selfie station. Guests were guided into flattering poses for classic portraits, ones they would take home as a keepsake from the event. Whether arriving with a significant other, a small group of colleagues, or a combination of both, a Flash Co. team member directed each group, checked the frame, and confirmed the result before printing.

Guiding guests matters more at a formal event than it might elsewhere. People who have dressed for a corporate gala have made an effort to show up well, and a portrait that reflects that effort is more likely to be kept. The difference between a photo that ends up framed on a desk and one that gets left on a table at the end of the night often comes down to whether someone took a moment to set the shot.
